How to configure security controls for employees to limit open checks and refund amount

Security options can help you limit lost revenue by providing additional restrictions on higher risk Point of Sale application functionality.  You can choose to limit the number of checks an employee can have open at one time and limit the maximum refund amount an employee can process during a shift or for a ticket, or both. A supervisor can override these restrictions if needed.

NOTE: 
You can configure these settings for all stores using the Company view or for a specific store.

To limit open checks

This control limits the number of checks an employee can have open at one time. If the user role permission allows, a supervisor can override the restriction and open an additional check, when needed.

  1. In Back Office , select the Employees tab.
  2. Select the Security Controls subtab.

  3. Select the Limit Open Checks checkbox.

  4. Enter the Maximum Number of Open Checks allowed. If an employee attempts to open a check that exceeds the maximum allowed, an error message will display on the Point of Sale app. 
  5. Click Save. If the maximum open check amount is exceeded on the Point of Sale app, the Open Checks Limit Reached message appears and a manager approval screen will display.
     

    To override the limit, enter a manager PIN and tap Override.

To configure a maximum refund amount

This control limits the maximum refund amount an employee can process in a shift or for an entire ticket transaction, or both. If set as a user role permission, a supervisor can override the restriction and process the additional refund.

  1. In Back Office , select the Employees tab.
  2. Select the Security Controls subtab.

  3. Select the Limit Max Refund Amount checkbox.

  4. Select a refund limit option:
    • Max Ticket Amount: Enter the maximum ticket amount. 
    • Max Shift Amount: Enter the total refunds for a shift. 
    • Both (Ticket/Shift): Enter the maximum ticket amount and maximum refund amount for the shift.

      IMPORTANT!  If the refund value is set to $0.00, employees will be able to perform unlimited refunds.

  5. Click Save. If the maximum refund amount configured is exceeded on the Point of Sale app, supervisor approval is needed to perform the refund. 
     
    To override the limit, enter a manager PIN and tap Override.

To limit clearing items

This control limits the number of items an employee is allowed to clear. A supervisor with the override user role permission can override the restriction and clear additional items, when needed.

  1. In Back Office , select the Employees tab.
  2. Select the Security Controls subtab.

  3. Select Clear Items Limit Override to limit the number of items an employee with Clear Items permission can clear.

  4. Enter a value in Maximum Number of Clear Items. For example, If you configure a maximum of 20 items to clear, when an employee attempts to clear the 21st item, an error message appears on the Point of Sale app preventing the employee from clearing the item. The maximum value allowed is 9999. 

  5. Click Save to save the changes.

To limit deleting tickets

This control limits the number of tickets an employee is allowed to delete. A supervisor with the override permission can override the restriction and delete additional tickets when needed.  

  1. In Back Office , select the Employees tab.
  2. Select the Security Controls subtab.

  3. Select Delete Tickets Limit Override to limit the number of tickets an employee with Delete Ticket permission can delete and to expose the Maximum Number of Delete Tickets setting.

  4. Enter a value in Maximum Number of Delete Tickets. If the number of tickets deleted is exceeded, an error message appears on the Point of Sale app preventing the employee from deleting the ticket. A supervisor can override if desired.
  5. Click Save to save the changes.
