How to set up digital gift cards and troubleshoot common issues

Digital gift cards are sold through a dedicated website that links from your company website and can be promoted through marketing communications. To purchase a digital gift card, customers visit the site, select a design, and choose the amount to load onto the card.

Once purchased, the gift card is delivered immediately or on a date selected via text message or email—either the purchaser or directly to the recipient. Digital gift card purchases are reported in the Gift Card Summary Report

  • Before selling digital gift cards online, ensure Gift Card is listed as an active item in your inventory.
  • To set up the digital gift card ordering website, select Gift Cards and Loyalty from the menu, then click Digital Gift Cards.
  • Digital gift cards are sold through a dedicated website that links from your company's website. Click the Sell digital gift cards online toggle to enable.
  • If desired, you can copy the URL or download the QR code to include in your marketing communications, directing customers to your digital gift card ordering site.
  • Click the available images you'd like to offer for digital gift card orders.
  • You can customize your website display by adding a caption, selecting a banner color, and uploading your logo.
  • The digital gift card site will have the same Footer, Terms and conditions, and Privacy policy as your online site, which can be managed in Online Settings if needed.
  • Select an employee from the drop-down list to manage your digital gift cards and select location. Click Save.
  • When a customer purchases a digital gift card from your site, they choose a gift card style and set an amount. After completing the required fields, they can send the gift card to themselves or to another recipient.
  • The gift card can be delivered by email or text, either immediately after purchase, or at a scheduled future date.
  • The recipient will receive an email or text with an activation key and a link to activate their digital gift card.
  • To activate it, they'll enter the activation key from the message.

Digital gift card setup

Add "Gift Card" as an active item in your inventory, then set up your digital gift card ordering website.

To set up a digital gift card website

  1. Enable gift card sales in your item inventory

    Create a gift card item in your inventory


    1.  In Basic Settings > Items > Products tab, create a gift card product.
    2. Select the This product is a gift card checkbox.

    3. Select a Category from the existing options.

    4. Choose a pricing option for gift cards:
      • Create a new product for each gift card denomination, setting a price and value for the gift card (e.g., $25, $50, $100). Individual gift card items must be added to your inventory for each dollar amount you want to offer. Leave Price in store disabled.
        OR
      • Allow the amount of the gift card value to be set at the time of sale by enabling Price in Store to allow the cashier to set a custom value at the point of sale. You do not need to enter a Price.
    5. Click Save and exit.
    6. Ensure the gift card item Status is set to Active.

  2. In Point of Sale Solution Back Office, select Gift Cards & LoyaltyDigital Gift Cards.

  3. When ready to sell gift cards, click Sell digital cards online to enable.

  4. Use the Copy URL and/or QR Code options to add a link to the gift card sales site from your website, marketing communications, or printed materials. These links will help your customers find your gift card ordering site.
  5. In Available images, select the gift card designs to offer.

  6. If desired, complete additional customizations to your digital gift card website theme.
    • Enter a caption for your gift card sales website.
    • Select Color to choose a site theme using color picker.
    • Upload your logo according to the provided guidelines.

  7. Review and update your website terms and policies, as needed. Your website will display the same footer, terms and conditions, and privacy policy that you have configured for your online site.

  8. Assign an Employee from the dropdown list to manage your digital gift cards and assign a Location for gift card reporting.

  9. Click Save.

Digital card purchases

When customers purchase a digital gift card from your site, they select the gift card amount and enter their name and contact information, along with the recipient's name and contact details. The purchaser can also choose to send the gift card to themselves. 

Once the purchase is complete, the digital gift card is sent immediately or on the future date selected.

NOTE:
The maximum balance for a digital gift card is $500.

When the gift card recipient receives their email or text, they will click the link and enter the Activation Key from their message to activate the card.

Digital gift card refunds

If a customer makes a mistake during the ordering process, you can cancel the inactive gift card and provide a refund. For example, you may cancel a digital gift card order sent to the wrong recipient. 

IMPORTANT!
You will not be able to refund a digital gift card that has already been activated.

To refund a digital gift card order that has not activated


  1. Request that the customer provide you with the order number from their digital card purchase. You will not be able to perform a refund using the gift card number.
  2. In Point of Sale Back office, select Transaction > Recent Transactions.
  3. Search for the order number and click Void.
