How to manage transactions in the Point of Sale Solution Back Office

What's in this article?

In the Transaction section of the Back Office, you can view transactions filtered by date or order type or search for a particular transaction. You can also view order details about the transaction, the products that were purchased, and the customer that purchased them. If needed, you can resend a receipt to a customer for any transaction. Card not present transactions may be voided or refunded from the Recent Transactions view.

View recent transactions

You can filter by date or order type on the Recent Orders screen to view a list of your transactions.

To filter and view transactions


  1. In Point of Sale Solution Back Office, select Transactions > Recent Transactions.
  2. Select a preset range from the dropdown list or select Custom Range to select specific dates and times. Click Apply.

  3. Apply additional filters to find the order: 
    • If you need a summary for a specific order type, select the applicable Order type from the dropdown list. 
    • If you need to find a specific transaction, enter the order number, customer name or employee name in the Search field. Otherwise, all transactions for all order types appear.
  4. Click Filter.

  5. To view the order details, click on the order number, or you can click on the Preview order icon under Actions.

  6. View details of the order such as: status, general order information, items ordered, payment details and customer details (if you have assigned a customer to the order).

    NOTE: For extended payment details, view the Orders report: Location Reports > Financial > Orders.

  7. (Optional) Click the Print icon in the upper right corner of the Order information section of the screen to print the order information.
  8. (Optional) Click on the product link in the Order items section to view information about the products purchased under the order.

  9. (Optional) Click Back to return to the list of recent orders. 

    NOTE: The date range returns to the current date as a default. If no transactions have been run for the current date range, the Recent Orders screen will not display any data.


Void or refund a transaction

You can void (cancel) a Card Not Present sale, pre-authorization or post-authorization if the transaction hasn't moved to settlement or refund the transaction if it has settled.  Cash transactions cannot be voided in the Point of Sale Solution Back Office.

NOTE:
Void or refund card present transactions at your register. 

To void or refund a transaction

  1. In Point of Sale Solution Back Office, select Transactions > Recent Transactions.
  2. Search for the Card Not Present transaction you wish to void.
  3. Click on the order number to view the order details.

    NOTE: You can also void the transaction directly from the Recent Orders screen, without viewing the details, by clicking Void under Actions on the far right of the screen.

  4. Click Void/Refund.

  5. Click Void in the pop-up message to confirm. A transaction that has not cleared will be voided. A transaction that has cleared already will refund to the original payment card and a fee may apply.

  6. The order status will update to Voided, and will be visible in the Status column of the Recent Orders screen.

Resend a receipt

You can resend or reprint a receipt for a transaction.

To resend or reprint a receipt

  1. In Point of Sale Solution Back Office, select Transactions > Recent Transactions.
  2. Search for the transaction you wish to refund.
  3. Click on the Resend Receipt icon. You can also resend the receipt from the Order Details screen.

  4. Review the customer name, phone number and email address. If that information was not captured in the original transaction, you can enter that information.

  5. Click Confirm to send the receipt.
